To add detail lines to a contractor invoice

The procedure to add detail lines to a contractor invoice is as follows:

  1. Navigate to Quick Menu > Repairs > Finance > Invoices. The Invoices window is displayed.
  2. Select a contractor from the alphabetical list or type its name into the Search Contractor field 1. A list of associated invoices is displayed in the Invoices summary table.
  3. Double-click on the row containing the exact invoice match 1.
  4. Click on Lines. The Lines tab is activated.
  5. Click on New Line. The Search Works Order window is displayed.
  6. Enter sufficient order details into the search fields provided and click on Search. The Search Works Order window is displayed, revealing a list of matching item types: Order, Task and Inspection.
  7. Multi-select all items to include on the invoice using the Add to Invoice tick boxes provided, or use New Search to enter alternative criteria.
  8. Click on Add to Invoice 2. The selected items are displayed in the Invoice Lines summary table.
  9. Click on Details. The Details tab is activated.
  10. Update the Number of items value on the invoice header to match the number of lines added to the invoice.
  11. Click on Save.


Tip

1 To aid the selection process, rows can be reordered by clicking on any of the available headings: Invoice ref, Invoice date, Payment due, Gross value, Status.

Note

1 The Search Contractor field will match against any element of the contractor name.

2 Where the total number of lines does not match the number of items held in the invoice header a confirmation message is displayed; these values must agree before the invoice can be authorised.
